Remediation checklist

  1. Reclaim orphaned OneDrives of departed staff (after any retention/legal hold).
  2. Trim version history on the biggest libraries and empty recycle bins (both stages).
  3. Archive or delete stale sites with owner sign-off (consider SharePoint Archive).
  4. Address near-quota sites before they block uploads.
  5. Once under the pooled allowance, reduce or cancel Extra File Storage add-on at renewal.
  6. Re-run StorageScout monthly to keep storage from creeping back over the pool.
